Appointments need more than a free time slot

Describe services, people and shared resources before connecting a calendar.

Start with one concrete service

Choose a service whose scheduling regularly requires coordination. List everything that must be available at the same time for it to take place. Besides a suitable team member, this may include a room, device or particular workstation. An empty space in one person's calendar does not establish that all the conditions for the appointment have been met.

Create a simple resource map

For each chosen service, record duration, required person or qualification, room and equipment. Distinguish essential requirements from interchangeable options. If two rooms are equally suitable, state that explicitly in the rule. If only one particular device can be used, do not treat it as an interchangeable resource. Make the rule understandable to a colleague unfamiliar with the usual arrangement.

Make time boundaries visible

Describe when each resource is occupied. Use may begin before the customer appointment or continue afterwards. Preparation, cleaning and internal handovers therefore need separate planning fields. For example, an appointment lasting 45 minutes with 15 minutes of finishing time requires a continuous 60-minute window for the affected resource. The customer-facing duration and the resource block are different values.

Test conflicts with examples

Compare two fictional requests that require the same resource. Then test whether an alternative genuinely resolves the conflict. Include an appointment near closing time and a change to the requested service. These cases reveal whether the rules are complete or still rely on informal knowledge held by a particular colleague.

Name the authoritative schedule

Record which system contains the valid occupancy information and who can make manual changes. That provides a basis for planning a connected availability check. The local tool calculates a draft; it does not read a calendar or reserve a resource. Actual confirmation stays with the agreed booking process. A useful resource map makes that boundary clear to everyone involved.

When an appointment needs more than one calendar, the rules must work together.
